How to Work on an Observation Step | Sibme Help Center

The Step work screen is where the Observation actually happens — where you add Evidence, complete a Form, score, sign, and mark a Step Done.

Every Observation is carried out one Step at a time. When you open a Step from your dashboard, you land on its work screen — the single place where you do what the Step asks: add Evidence, complete a Form, enter a score, sign, and mark the Step Done. The same work screen serves everyone a Step can be assigned to, so what you can do on it depends on whether the Step is for the Observer, the Observee, or Both.

Who Is This Article For?

The Step work screen is for anyone carrying out an Observation — whether you are the Observer doing the observing, the Observee taking part, or both at once. What each Step lets you do depends on who it is assigned to; a Step assigned only to the other person shows as Waiting until it is your turn. If a Step isn't behaving the way you expect, ask your administrator how the Process was set up.

This article is for these User levels, when they are assigned to a Step as an Observer or Observee:

  • User

  • Admin

  • Super Admin

  • Account Owner


Open a Step's Work Screen

You reach the work screen from a status dot on your dashboard. From the left navigation, open Observations, then find the Step you want in the grid. Click its status dot to open a short menu and choose:

  • Open — opens the Step's work screen.

  • Open in New Tab — opens the same work screen in a new browser tab.

On the Observer dashboard the same menu also offers Add Card, which is covered in Using Observation Cards.

Find Your Way Around the Work Screen

The work screen keeps the same frame no matter what a Step asks for:

  • The blue Observation bar runs across the top, with ← Back to Observations List on the right to return to your dashboard.

  • The grey bar below shows whose Observation you are working on — the Observee's name and email. On the Observer side, Previous and Next here move you between your Observees without leaving the Step. The Previous and Next do not show for an Observee.

  • The Step's name sits below it, with an information icon ( i ) beside it. Select the icon to open a Description window explaining what the Step is for, then close it with OK.

  • The and arrows at the top right move you to the Step before or after this one in the Process. They wrap around, so from the last Step returns you to the first.

When a Step Is Waiting on the Other Person

Some Steps assigned to Both are set so one person acts before the other. If it isn't your turn yet, the work screen shows a Waiting message — for example, "Waiting on Observee! You'll be able to complete your part of this Step after the Observee's part is finished." Once the other person finishes their part, the Step opens for you to complete. Which person goes first is set when the Process is built (for signing, see Sign a Signature Step below).

Add Evidence to a Step

Most Steps collect Evidence — the Videos, Audios, notes, Artifacts, and Forms that document the Observation. The Evidence tab lists what has been added; when a Step is empty, it reads No Evidence has been added!

To add Evidence, use the green + (or the highlighted buttons shown on an empty Step) and choose from:

  • Record Video / Record Audio — capture a new recording.

  • Script Notes — take timestamped notes. (On the + menu this appears as Script Notes (web only).)

  • Add Existing Artifact — attach a Video, Audio, or Resource already in Sibme.

  • Add Completed Form — attach a Form that has already been filled out.

  • Record Screen — capture your screen.

  • New Form — start a new Form.

Selecting an Evidence item opens it in the preview pane on the right, where you can read a document, watch a recording, or review comments. Use + Summary to add a written summary for the Step.

Complete a Form Step

When a Process Manager attaches a Form to a Step, the Form appears as a tile in the Evidence pane, labeled with the Form's name. Select the tile to open the Form, fill it out, and save it. Once completed, the Form is kept with the Step as Evidence, alongside anything else you have added. If the Step is assigned to Both and set so the other person goes first, the Form opens for you only after their part is finished — until then the Step shows a Waiting message.

Score a Step

Some Steps are set up to be scored. When they are, a Score tab appears next to Evidence.

For a Step scored with a Max Value, enter a number up to the Max Value the Process Manager set. The Max Val column on your dashboard shows that ceiling; a dash means the Step isn't scored.

Other Steps score against a Framework and its Performance Levels rather than a single number. These show each Framework indicator with a Performance Level menu and roll the results up into an Average Performance Level (Avg. PL). Sign a Signature Step

A Step can require a Signature to complete it. A Signature Step shows your name in a signature font with the note Your signature is required to complete this step, followed by a Disclaimer your Account can customize. Review it, then select Confirm & Sign. Once signed, the Step shows your name, a green Signed badge, and the date and time you signed.

When a Signature Step is assigned to Both, the Process sets the signing order:

  • Either First — either person can sign first.

  • Observer First — the Observee signs after the Observer.

  • Observee First — the Observer signs after the Observee.

The person who has to wait sees a Waiting message until it is their turn.

Mark a Step Done

When you have finished a Step, select Done at the bottom right of the work screen. The Step is marked Done right away and the button changes to Undone. On your dashboard, the Step's status dot turns green for Done — or Done Late if it is past the due date.

Mark a Step Undone

If a Step was marked Done by mistake, or needs more work, select Undone. A Why Undone? window opens where you enter Undone Notes explaining the change; then select Save. The Step returns to active, and a ? appears in the Undone column on your dashboard. Anyone viewing the Step can select that ? to reopen the Why Undone? window and read the note.
