Can a form be shared after submission

PDFs of a form can be shared to various places in Sibme, depending on your permissions. NOTE: sharing a form only generates a PDF of the original form submission. The shared file cannot be edited, but you can use document commenting to annotate the PDF. Anyone who has permission to view a form submission will also be able to download, email, and share the PDF of that submission.

Who is this article for?

Based on the default user settings in the Sibme platform, you should have permission to complete this task if you are one of the user levels listed below. If you do not see the screens in this article, you can ask your administrator if you have permission.

STEPS FOR SHARING A PDF OF A FORM IN A HUDDLE

  1. After the form has been submitted, click the … menu and select Download.

  2. This will download a PDF of the form onto your computer

  3. Navigate to the Huddle or Workspace where you wish to upload the PDF of your form by clicking the green plus button

  4. Select “Upload Resource”

  5. Select the PDF that was downloaded to your computer

  6. The PDF will be displayed as a resource in your Huddle or Workspace Artifacts

STEPS FOR SHARING A PDF OF A FORM IN AN ACTION ITEM

  1. After the form has been submitted in a Huddle, navigate to the Goal and Action Item where you wish to upload the PDF of the submission as evidence.

  2. In the Evidence section of the Action Item, click the green plus button.

  3. Select Form

  4. This will generate the normal File Picker with your Workspace and Huddles. Select the space where your form was submitted and then select the form you wish to attach as evidence to your action item.

  5. A PDF Copy of your form Submission will be displayed in the Evidence section of your Action Item.

EMAILING A FORM SUBMISSION

  1. You can also email a PDF of your form submission to someone not already in Sibme. Once the form has been submitted, click the … menu and select Email Form.

  2. This will open a small box. Enter valid email addresses and click email to generate an email with a PDF of your form submission attached. To email multiple people at the same time, enter valid email addresses separated by a comma.

NOTE: PDFs of form submissions function exactly like any other PDF artifact in Workspace, Huddles, and Goals. Anyone who can access a resource in your Huddles and Goals will be able to view the PDF of the submission, even if they cannot see the actual Form Submission in the same space.
