Huddle Conferences are a great way to quickly schedule and join web conference meetings for all of the members of your Huddle. In addition to regularly scheduling group meetings, the "Appointment Booking" tab enables you to utilize your web conferencing service for online private meetings.

Who is this article for?

Based on the default user settings in the Sibme platform, you should have permission to complete this task if you are in one of the user levels listed below. If you do not see the screens in this article, you can ask your administrator if you have permission.

  • Users
  • Admin
  • Super Admin
  • Account Owner

Huddle Roles supersede User Roles in Huddle Conferences. Anyone can join a Huddle Conference if they have access to the Huddle where it was scheduled. However, only Coaches and Admins will have access to schedule Huddle Conferences and see other features within the Huddle Conference Tab.

Scheduling Appointment Slots

An Admin or Coach in a Huddle can offer available slots in their calendar, while choosing the standard duration of a slot, and possible breaks between slots.

Huddle Members can view available slots in the Admin or Coach’s calendar, and reserve an online appointment. Scheduled appointments will appear in green, reserving the requested time, and preventing other Members or Coachees from choosing the same time slot.

Upcoming appointments and the buttons to join the appointments will appear in the left-hand column. Admins or Coaches can also use the calendar to scroll through their online appointments, and click on the scheduled appointments for more information.

  • Blocks scheduled by the Admin or Coach are available for all the Huddles that the Admin or Coach has in Sibme. This allows the Admin or Coach to effectively manage office hours across all the courses they teach.
  • The Appointment Booking module can be used for office hours, tutoring, counseling and other private meeting options.

Expert Tips for Admins or Coaches:

Here are the steps for setting up the appointment slots:

1. Click on "Offer Slots":

2. Select your preferences for the slots, including time, date, slot duration and breaks between slots:

3. You will see the block of the time slots you created in yellow, and the slots that the Members or Coachees reserved in green. Clicking on the green block will display the Member or Coachee information for that block including the name of the Member or Coachee and the information they wish to cover. Upcoming appointments will be listed in the left-hand column.

4. Student view: An Admin or Coach's available slots are displayed in yellow. If there are more than one Admin or Coach in the Huddle, Members or Coachees can choose the Admin or Coach they wish to schedule an appointment with by using the dropdown menu. To reserve an appointment, Members or Coachees can click on an available slot, and enter the title and information for the meeting. Scheduled appointments appear in green. Upcoming appointments are displayed in the left-hand column.
